Operational dashboards and KPI alerts from your own systems
An operational dashboard shows the numbers a team acts on every day: work coming in, work getting done, how long it takes and what it earns. Ops Insights builds operational dashboards from the SQL database behind the systems you already run, and emails a KPI alert when something crosses a line.
What's on an Ops Insights dashboard
- Count tiles for counts, sums, averages and percentages
- Charts: bar, column, line, area, pie, gauge and heat map
- Drilldown from any tile to the records behind it, or to subtotals by branch, client, office or employee
- A dashboard for each role, set by the access roles you assign
- Default date ranges and filters by role or person, which an administrator can lock
- Drag-and-drop layout, and a refresh on every tile
Every tile is a report. Open it to see the full results, the description, the criteria behind it, or to ask for a revision.

KPI alerts that stay quiet until they matter
A KPI alert tells you when something important happens and leaves you alone when everything is going to plan.
Thresholds you set
Compare a value, a sum or a percentage against a threshold: above, below or equal. Combine conditions with AND or OR.Delivered by email
The alert lands in the inbox of the people who need to act, with the matching records attached as an Excel file.Examples
Orders last month compared with the same month last year. Order counts down more than a set percentage over two months. Upcoming payoff due dates where the check hasn't been sent.
Operational dashboard examples
Each role gets the handful of numbers it acts on. These are typical in a title agency, where Ops Insights started; the same pattern works for any operation that runs on a database.
Owner
Revenue and profitability by client and product, orders compared with last year, and the trend behind both.Operations manager
Orders opened, closings, fundings, projected closings and scheduled signings for this week, month and year.Vendor manager
SLA percentage met for each vendor and each step, with the files still in progress.Accounting manager
Receivables, revenue by client and the transaction data accounting needs each period.Team lead
Volume and turn times by person, and the files that are late or stuck.Partner or client
A dashboard limited to their own files, for joint venture partners and key clients.
Questions about operational dashboards
- How many KPIs should be on a dashboard?
- Fewer than most people expect: the five to ten numbers one role acts on. In Ops Insights a row holds up to four count tiles or two charts, and each role has its own dashboard, so nobody scrolls past someone else's KPIs.
- What is the difference between an operational dashboard and a BI tool?
- A BI tool is built for analysts to explore data. An operational dashboard is built for the people doing the work, and answers the same questions every day. Ops Insights is done for you: our analysts write the reports, so your team doesn't need a BI specialist.
- How current is the data?
- Tiles query your system when the dashboard loads, and you can refresh any tile at any time.
- Can people outside our company see a dashboard?
- Yes. External users, such as clients, vendors and partners, can have dashboards and emailed reports limited to their own data. They can't browse your report library.
